Summary

The Site Administrator supports the Site Supervisor with comprehensive administrative duties to ensure efficient operation at the construction site. This position is pivotal in managing clerical tasks, document management, coordination among departments, and handling inventory tasks. Candidates must possess strong organizational skills, a capability for managing multiple tasks simultaneously, and a sharp attention to detail.

Duties and Responsibilities

  • Administrative Support: Assist the Site Supervisor in daily administrative duties including scheduling, correspondence, and maintaining project documentation.
  • Document Control: Manage, file, and update essential documents such as contracts, blueprints, and reports, ensuring their security and accessibility.
  • Meeting Coordination: Organize meetings and appointments, prepare agendas, reserve facilities, and handle follow-up documentation.
  • Communications: Act as a liaison between the construction site and external parties, including suppliers, contractors, and regulatory agencies, to ensure efficient project operations.
  • Inventory Management: Oversee the issuance and receiving of materials and equipment at the site. Maintain accurate inventory records and ensure materials are available as needed.
  • Safety Documentation: Assist in maintaining compliance with health and safety regulations, manage safety documentation, and support the enforcement of safety protocols.
  • Data Entry and Reporting: Perform data entry tasks and prepare reports concerning project progress, budgeting, and compliance issues.
  • Problem Solving: Provide logistical support to resolve minor issues at the site and coordinate solutions with relevant parties.

Job Requirements

  • High school diploma required; further education or certification in administrative services, business, or related field preferred.
  • Experience as an administrative assistant, particularly in a construction or industrial environment.
  • Strong organizational and multitasking skills.
  • Excellent communication skills, both written and verbal.
  • Proficiency in MS Office (Excel and Word) and familiarity with project management software.
  • Knowledge of inventory management procedures and database systems is highly desirable.
  • Ability to work under pressure and adapt to dynamic environments.
